The below applies to the Fall 2021 and Winter 2022 sessions.

Though we are currently operating virtually and with limited staff in person, we want to assure you of our continued support and remind you that we are here to help with testing accommodations.

Please read below for instructions on using testing accommodations for online courses and a separate set of instructions for Hybrid or in person courses. Please read carefully so that you know the process for requesting testing accommodations and the procedures for taking tests in our office.

Students taking fully online courses:

For students taking fully online courses, Test Request Forms will not be needed when setting up testing accommodations. Your Notification of Academic Accommodations (aka accommodation letter) will be used in its place.  You are strongly encouraged each semester to request that our office send your accommodation letter to the professors of the classes in which you want to use your accommodations. The request must contain your name, your student ID number, the course number and course section, and the name of the professor.

If for this semester, you already asked us to send your accommodation letter to your professors, you do not need to do anything more. If you have not yet asked us to forward your accommodation letter to your professors, we encourage you to do so as soon as possible.

Students taking Hybrid or in person classes:

Students enrolled in hybrid and in-person classes who would like to use their approved testing accommodations may take their tests at AAS. To facilitate this process, we have set up a new test request system. Considering the current situation caused by the COVID-19 pandemic, our goal is to meet your accommodation needs and also to ensure your health and safety and that of our staff. All students in in-person or hybrid courses who want to use their testing accommodations will need to complete a new digital test request form and follow the process described below to notify us that you will take your tests with our office. This will help us be prepared on the day you take your test.    

Please note: All students entering our space will be required to follow safety guidelines such as, but not limited to, wearing a mask that covers your mouth and nose, and social distancing whenever possible. Due to the social distancing guidelines, there is a limited capacity in the rooms that we use for testing, and this restricts the number of students we can test on a given day. It is important, therefore, that you follow the process below. Rest assured that we will make every effort to accommodate your testing needs, but at times we may have to adjust the time that you come to take exams with us.

Procedures for taking tests with AAS

Before you can request testing accommodations, you must request that we send your professor your accommodation letter also known as a Notification of Academic Accommodations. If you have not yet asked us to forward your accommodation letter to your professors, we encourage you to send a request to aas@kbcc.cuny.edu with your full name, EMP ID number, your course names and professors before making a request to take your exam in our office.

  1. Your first step will be to discuss with your professor the time you will take the exam. Please be careful that the date and time you agree on does not conflict with any of your classes or lectures. 
  2. We ask that you complete the digital test request form as soon as you know that you are having a test and be sure to include all requested information.      
  3. It is your responsibility to submit this form to AAS a minimum of one week before the scheduled test date and before the submission deadline for finals. AAS cannot guarantee accommodations to students who do not submit test request forms in a timely manner.     
  4. You can request a receipt when the form is submitted. Be sure to keep a copy for your records. 
  5. Your professor should deliver the test by email to aas@kbcc.cuny.edu before the schedule date. 
  6. If your class test is canceled or rescheduled, please notify AAS. If your test is rescheduled, AAS will need notification from the professor indicating the new date of the test.     
  7. Report to AAS (Rm. D-205) on the scheduled date of the test. Be on time. If you are more than fifteen (15) minutes late, you will need to obtain permission from your professor to take the test. 
  8. Be aware that AAS will administer tests in accordance with your approved testing accommodations. 
  9. Additional materials are not allowed during a test, unless approved by our office or your professor has provided instructions either on the test or has separately emailed AAS approving the use of these materials.
  10. Electronic devices (e.g. cell phones, Apple watches, IPad, etc.) are not allowed in testing rooms, unless related to your accommodations.
  11. If you do not appear for your scheduled test date, you will need to repeat the steps above and we may need approval from your professor before administering the exam.
