KCC Events (internal)

The Office of Events Management is here to help Faculty, Staff, and Community groups plan successful events. Here, you will find resources to help you plan your meetings and events.

Events Management will help you plan and reserve a space for your event. We ask that you keep the following in mind:

  • Room Reservation requests should be made as soon in advance as possible. It’s (usually) never too early to plan!
    • Larger events must be requested at least three months ahead of time
  • When booking events and meetings, please be sure to answer all of the questions listed below.
    • All of your event details should be provided at the event's initial booking.
    • All event requests, including tabling, must include a written and detailed purpose and description of the event.
    • Any changes must be made at least ten business days before the event, and at minimum, last-minute changes/ confirmations are due by 5 pm on the Tuesday before the week of your event.
    • Last-minute changes may not be able to be accommodated.
  • Events Management will always confirm your booking by email or via our Event Planning System, Mazevo (most likely). If you do not receive a confirmation, please contact us.
  • Student Clubs: requests for activities must be directed to the Office of Student Life

Planning & Booking Your Event

Kingsborough Community College has select event spaces where you can book your meeting or event.  Please click the button below to view our Event Type and Room Capacity Resource.  Event Layout & Room Capacity Resource

When booking an event, please be able to answer all of the following questions (under the “if you do not have Mazevo access” section) in full.

If you do not have access to Mazevo, you may request a room by emailing Events.Management@kbcc.cuny.edu. Please include the answers to these questions in the request.

  • Organization/Department sponsoring the event:

  • Name of the Event Lead (person):
  • Please describe the Purpose and Description of your event:
  • Will you have an External Guest Speaker? 
    • If yes, please provide the name and link to their bio, if available:
  • Preferred event date:
    • Alternate event date:
  • Event Start and end time:
    • When do you want to access the space before the event starts?
    • How long will you need after the event to exit the space (or provide a time)?
  • Preferred room:
    • Alternate room choice:
  • Number of attendees:
  • Describe your desired room set-up:
  • Do you require a podium, sign-in table, and/or “lead” table at the front of the room?
  • Does your event/meeting require any Audio/Visual equipment?  Please choose from the following:
    • Yes, we need a mic(s) and will be viewing presentations/ videos on the screen in the space.
    • Yes, we will be using the screen in the space to view presentations/ videos but do not need a microphone(s)
    • We would like to play MUSIC and use a MIC for announcements but do not have presentations/ videos to share
    • We would like to play MUSIC in the space but do not have presentations/ videos to show
    • We do not need any Audio/ Visual. We need the room itself.
  • Will food be provided at your event/ meeting? Please choose from the following:
    • Yes, by Panda House
    • Yes, by BASSETS
    • Yes, by another caterer
    • Yes, snacks will be provided (chip bags/ cookies and similar)
    • No, food will not be provided at this event/ meeting.
  • Will off-campus visitors be invited?

Mazevo is the college’s Event Room Reservation system. If you have access, please follow these steps to reserving your room reservation:

  1. Click here to access Mazevo
  2. Log-in using your KBCC login
  3. Click on “Add New Event”
  4. Answer all of the questions prompted
    • The start and end times of your event should indicate the time the event begins and ends.
    • The system should ask you when you would like access to the space before the event time. Please answer these questions as accurately as possible.
    • When you reach the “Select a Room Setup” portion, please select a setup that best describes your preferences. Then, provide a detailed description of your event in the “Notes” section. In this section, please also identify your set-up time, event time, and breakdown time.

Please note: Mazevo will allow you to request the room if it is available, however, Events Management will review & approve your request as the system cannot detect any overlapping conflicts for the same room or different set up requests.

If approved, you will receive an email that states your request was approved.

Regardless of approval, Events Management will call you to go over your request and discuss any changes that need to be made.

Breezeway Tabling:

The purpose of Breezeway Tabling is for areas of the College to disseminate information to the student body in a high-traffic area.  Breezeway tabling is a resource the College offers for disseminating community-related information and engaging the student body.

Guidelines:

  • All requests to book a breezeway table must include a purpose or description of the tabling session. Please write a short but descriptive reason and include the information you will disseminate. Please note that the request will be returned to the requester if a purpose or description is not provided.
  • Tabling can only be booked Monday – Friday, 10:00 am – 2:00 pm
  • Individuals who are tabling must be able to access their confirmation email from Events Management confirming their scheduled tabling session. It should be presented upon request from College Staff, including but not limited to Events Management and Public Safety.

Steps to Book a Breezeway Table:

To Book a Breezeway table, please follow these steps:

Requests for tabling must be processed through the Office of Student Life. Please review their website for more information.

If you do not have access to Mazevo, you may request a room by emailing Events.Management@kbcc.cuny.edu.

Please include the answers to these questions in the request.

  • Organization/Department sponsoring the tabling session:
  • Tabling Title:
  • Contact Person:
  • Please describe the Purpose and Description of your requested tabling session:
  • Is this tabling request for an external entity (such as an employer, transfer college, etc.)?
    • If yes, please provide the name and link to their website:
  • Preferred tabling date:
    • Alternate date:
  • Start and end time (please select a window between 10:00 am and 2:00 pm Monday – Friday)

  3. Click on “Add New Event”
  4. Answer all of the questions prompted, including providing a purpose or description for the tabling request.
    • The start and end times of your event should indicate the time that tabling will begin and end.
    • Location should be listed as Cluster Breezeway and then you may select Breezeway Table 1 and Breezeway Table 2

Food Services – Food Order Process:

Events Management must know whether food is provided at an event to ensure proper setup and protocol (regardless of vendor).

*All food order forms (with Panda House) must be processed through the office of Events Management – regardless of funding source. *

To order food for an event on campus from the college food service, Panda House, you must:

  • Identify a funding source in advance and secure funding. Please ensure that you follow CUNY’s policies regarding the procurement of goods and services when placing your food orders.
    • The College must follow Directive Six funding guidelines when food is purchased for events. Please use the following guidelines when ordering food:
      • $11.50 per person for BREAKFAST
      • $19.50 per person for a MODEST MEAL (lunch/dinner)
    • Complete the Food Order form ten business days before the event.
      • Make sure all information is entered on the form and signatures of all necessary approvers are obtained, including a PO number if applicable.
    • Email the form to Events.Management@kbcc.cuny.edu or bring it to A209. We will review and submit the order to Panda House.
      • The submitter will be CC’d on the order submission to Panda House. Please contact us if they do not receive a confirmation within two business days.

Please note: Departments may contact Panda House to obtain a quote, pricing, menu questions, and other information; however, Events Management must process the finalized Food Order Form.
